Privacy Policy

This policy explains what personal information Koobe collects, how we use it, and the choices you have. Koobe (koobe.ai and app.koobe.ai) is operated by Writing Studio Ltd, a company registered in New Zealand. In this policy, “Koobe”, “we” and “us” mean Writing Studio Ltd.

1. Who we are

We are responsible for your personal information under the New Zealand Privacy Act 2020 and, where they apply, the EU and UK General Data Protection Regulations (GDPR).

2. Information we collect

• Account information: your name, email address, profile photo and sign-in method. If you sign in with Google, we receive your name, email address and profile photo from Google.

• Content you create: the ideas, briefs, outlines, chapter text, cover designs, files and settings you add to Koobe, and what our AI tools generate for you.

• Usage information: log data such as IP address, browser and device type, pages visited, and records of each AI generation (type, size and cost) that we use to run usage limits and prevent abuse.

• Payment information: our payment provider handles your card details. We receive only limited details such as your plan, billing country, card brand and the last four digits. We never see or store full card numbers.

• Messages: anything you send us, for example support emails.

3. How we use your information

• To provide Koobe: create your account, save your work, and generate outlines, text and cover art when you ask.

• To bill you and manage your subscription.

• To answer support requests.

• To keep Koobe secure, enforce usage limits, and detect fraud and abuse.

• To understand how Koobe is used, in aggregate, so we can improve it.

• To send service emails such as sign-in codes, receipts and important changes. We send marketing emails only where the law allows, and you can unsubscribe at any time.

4. AI processing

When you use an AI feature, the content needed for that request is sent to our AI providers so they can generate the result: Anthropic for text, and fal.ai for images. They process it on our behalf under their business terms.

We do not use your content to train AI models, and we do not sell your content or personal information. AI output can be wrong or incomplete, so please review it before you rely on it or publish it.

5. Service providers

We share information only with providers that help us run Koobe, and only as much as they need:

• Clerk: sign-in and account management, including sign-in emails.

• Vercel: hosting of the Koobe app.

• Neon: database storage.

• Anthropic: AI text generation.

• fal.ai: AI image generation.

• Stripe: payments and billing.

• Framer: hosting of our website, koobe.ai.

We may also disclose information when the law requires it, to protect our rights or the safety of others, or as part of a merger or sale of our business, in which case this policy will continue to apply.

6. Where your information is stored

Our providers store and process information mainly in the United States. When information leaves New Zealand, the EU or the UK, we rely on providers that protect it in ways comparable to those laws, including standard contractual clauses where required.

7. How long we keep it

We keep your account and content while your account is open. If you delete your account, we delete your content within 30 days, except copies held in backups (removed within 90 days) and records we must keep by law, such as billing records, which New Zealand tax law requires us to keep for seven years. AI usage records are kept for up to 24 months.

8. Security

We protect your information with encryption in transit, access controls and providers with strong security practices. No system is perfectly secure, so please use a strong, unique password and tell us right away if you think your account has been misused.

9. Your rights

You can ask to access, correct, export or delete your personal information. Depending on where you live, you may also have the right to object to or restrict certain processing, and to withdraw consent. Email support@koobe.ai and we will respond within 20 working days.

If you are not happy with our response, you can complain to the New Zealand Office of the Privacy Commissioner (privacy.org.nz), or to your local data protection authority if you are in the EU or UK. California residents: we do not sell or share personal information for cross-context advertising.

10. Cookies

We use essential cookies to keep you signed in and to protect your account. Our website may use privacy-friendly analytics to count visits. We do not use advertising cookies.

11. Children

Koobe is not for anyone under 16, and we do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.

12. Changes to this policy

We may update this policy. We will change the date at the top, and if a change is significant we will tell you by email or in the app before it takes effect.
